Save & Share Views

Use Records Pages to create, save and share filtered views of data.

Saved Views offer a streamlined way to filter and access data efficiently. By allowing users to apply specific filters and then save these configurations, it eliminates the need to repeatedly set up complex filters each time the same data needs to be reviewed. Saved Views promote personalized workflows, as users can tailor Views to their specific needs and retrieve them with a single click, improving overall user experience and data management.

Users can also share Views they have created. Sharing Views enables team members to access consistent, pre-filtered data, fostering collaboration and ensuring everyone works with the same information. This reduces time spent setting up individual Views and minimizes discrepancies in data interpretation.

Create a Saved View

Saved Views have been applied to all Records pages (bulleted lines icon in the left navigation ribbon)

  • Filter and sort data, reorder or hide columns to display data to align with your specific requirements

  • Click the gear icon and choose "Save As"

  • Enter a unique name and click "Save"

  • The View will now be accessible from the Saved Views dropdown

*To undo any changes you have made without saving a View, click "Reset View"

Sharing a View

Views can only be shared with users in your tenant.

While viewing a View you've created:

  • Click the gear icon and choose "Share"

  • Select one or multiple users to share the View with and click "Send"

  • The View will then display in those user's Saved Views dropdown

Any changes you make on a Shared View will also display on the shared user's View.

* You can also share a View's data by clicking the link icon and sharing the link with another user. The link will load the data for the View, but not the View name, and the user will need to name and save the View. Any changes you make to the View will not display on the shared user's View.

Favorite a View

From the Saved Views dropdown, hover over a View and click the star.

  • You can click and drag favorited Views to reorder their importance

  • Un-favorite a View by clicking the yellow star.

Edit a View

  • If you are viewing a View you created, you can:

    • Make changes and click "Save" to save your changes

    • Make changes and click "Save As" to save a new report

    • Rename the View

  • If you are viewing a View that has been shared with you, you can click the gear icon and choose "Save As" to convert the View to your View. Any changes made by the original user will not display on your View.

  • If you do not wish to save changes, click the gear icon and choose "Discard Changes"

Delete a View

Click the gear icon and select "Delete View"

* If you are deleting a View that has been shared with you, that View will only be deleted for you and not the original View creator.
